Position Summary
We are looking for a seasoned administrative professional with experience working in a small to mid-sized office to support the CEO (80%) and manage the rhythm of the general office (20%). The ideal candidate has a genuine interest in the firm’s mission: helping their clients pursue and achieve a stewardship approach to their finances.
Responsible for facilitating efficiency in a steady environment, this person will be confident taking on a multitude of tasks (ranging from client projects, meeting coordination and administrative support work) and have an open, eager mentality to learn new things, if/when needed.
We are seeking a master scheduler with an impeccable eye for detail and effective prioritization skills. A strong communicator who is highly organized, proactive and solution-oriented.
Job Functions:

80% personal/executive assistant
-
20% supporting the general office (staff of 7) with daily operational tasks and activities

Coordinate and help manage complex schedule of the CEO

Prepare and manage meeting logistics

Assist in maintaining digital and hard copy files

Assist CEO in compliance oversight

Coordinate state, SEC and FINRA licensing and continuing education efforts

Assist with and manage a variety of projects as needed

Administer monthly bill payments and QuickBooks reconciliation
Ideal Candidate Qualities & Experience:

Bachelor’s Degree required
-
3-5 years of administrative experience
-
Working knowledge/proficiency in insurance, financial planning and/or wealth management, a plus

Experience and proficiency with QuickBooks

Familiarity with standard industry CRM systems (SmartOffice, Redtail) a plus

Industry-related licensing and broker dealer compliance experience a plus
