Our client has a direct hire opportunity for an Administrative Assistant who will work directly with the President and other members of the Executive Team to offer a helping hand in secretarial tasks, organization, and event planning. This person will be the go-to person to pull things together and get the job done.

Our client is a local distributor and systems package manufacturer that provides comprehensive design, solution, and repair services for all the products they produce. Job Functions
  • Act as a backup operator to the automated phone system; be a resource to assist and answer questions on the phone and voicemail system. 
  • Keep phone greetings up to date.
  • Monitor company emails and voicemail box and forward as appropriate.
  • Receive, sort and distribute incoming mail. 
  • Send mail to Field Salespeople as needed.
  • Keep phone, speed dial, and personnel lists up to date.
  • Greet visitors to the front lobby and ascertain the nature of the visit.
  • Assist Accounting Department with A/P data entry and processing.
  • Make travel arrangements for KFS employees.
  • Register and track KFS employees for seminars, training sessions, and association meetings.
  • Register and track International Fluid Power Society (IFPS) certifications for sales and technical personnel.
  • Assist with job postings. 
  • Administer confidential candidate testing.
  • Send out new customer letter and information packet.
  • Prepare for company Board of Directors meetings, including meeting packets distributed prior to meetings.
  • Assist with planning and set-up of company Annual Meeting; maintain tenure records for awards.
  • Plan biennial company picnic and Christmas party.
  • Support marketing special projects. 
  • Compile monthly Danfoss DPS Report.
  • Set-up sales, supplier and other meetings including physical set-up when required, food and accommodations.
  • Coordinate annual preparation of Christmas card distribution lists for the company.
  • Update department file folders at end of each year. 
  • Manage and order business cards.
  • Handle company donations and requests for gifts and prizes.
  • Perform other duties as assigned.
Requirements
  • 2 years of college or comparable experience
  • 2+ years of administrative assistance experience
  • Exceptional organizational and computer skills 
  • Fluent in written and oral communication
  • Excellent communicator with positive attitude and energy
  • Well-organized and self-directed individual 
  • Team player
  • Proficient in full Microsoft Suite and Adobe Acrobat and Photoshop.
